Grade Change, Drop, Withdraw, and Incomplete Policy


All forms must be submitted in person at the Community Scholar office in Zehmer Hall.  Office hours are Monday-Friday, 8 a.m.-5 p.m.  If you have additional questions, please email communityscholar@virginia.edu or call (434) 982-4789.  

Spring 2010 dates

Request To Change Grade Option Form
Last Day to Change Grade Option:
Friday, February 12, 2010

Request To Drop Form
Last Day to Drop: Wednesday, February 24, 2010.
(Signature of instructor required) 

Request To Withdraw Form
Last Day to Withdraw: Wednesday, April 21, 2010.

Community Scholar Incomplete Form
The notation IN on a student’s academic record indicates that the grade for the course shall be withheld until the student completes all course requirements or examinations. A student may not request an IN grade in an attempt to raise that grade. Prior to the end of the semester, students must initiate the request for an extension of time by completing the,  Community Scholar Incomplete Form obtaining the signatures of the course instructor and the Director the Community Scholar Program in the Community Scholar Office and submitting the form to the School of Continuing and Professional Studies Community Scholar Office. A grade becomes an “F” ten days after the end of the examination period if the IN form is not submitted. After the form is submitted, the student must complete the course requirements as approved by the instructor. A grade of IN will convert to F if the coursework is not completed within four weeks after the end of the examination period. (Note: The Schools of Architecture, Engineering and Nursing have different completion times for the incomplete. Please review each School’s policy regarding incompletes to ensure that you meet specific School requirements. You must still complete the Community scholar Incomplete Form for courses taken in these Schools.)  

Refund Schedule 

  • Through January 20: 100% tuition refund, no fees returned*
  • January 20- January 29: 80% tuition refund, no fees returned*

*Request to drop form must be completed and and brought in person to Zehmer Hall or faxed to (434) 982-5324 by 5:00 pm on the deadline dates listed above.
